Working from your phone

Cygnetree's web app can be installed on a supported phone as a Progressive Web App. The installed experience and the mobile website use the same workspace and permissions.

Capture something before you lose it

Open Capture from the bottom bar to save a typed note, photo, or voice clip. You can also jump straight to a person, project, to-do, message, booking, stage change, or automation.

Every quick capture first goes into Field captures on that device. This gives you an honest safety net when the Wi-Fi on site is unreliable.

If the browser reports that device storage is unavailable, leave private browsing or allow site storage before relying on quick capture.

Sync a note or task

1. Open Capture → Field captures.
2. Choose whether the text should become a Project note or Assigned task.
3. Choose the project.
4. Select Sync to project.

A repeated tap or reconnect will not create another copy. Cygnetree records the device capture identifier and resolves later attempts to the same project record.

Know where your capture lives

• On this device — it has not been sent to the workspace.
• Syncing — Cygnetree is sending a sync you approved.
• Synced — the project record exists; use Open project to verify it.
• Needs attention — nothing was silently discarded. Read the reason, choose another project if needed, and try again.

If you requested a sync while offline, Cygnetree retries after the browser reports that the device is online.

Keep requested syncs moving

On browsers that support Background Sync, a requested note or task can retry even after you leave the PWA. Cygnetree never uses background sync for a capture you did not ask to send, and it requires the project destination you selected.

Background Sync is not available in every browser. When it is unavailable, keep or reopen Cygnetree after reconnecting. Your local copy and visible status remain available either way. Photos and voice clips use the explicit foreground upload flow.

Photos and voice clips

Until your administrator enables private media storage, photos and voice clips stay only on the device. Use Save file before clearing browser storage or changing devices.

When storage is ready:

1. Choose the destination project.
2. Select Upload to project.
3. Keep the page open while the device calculates an integrity checksum and sends the file directly to private storage.
4. Confirm the capture says Synced.

The new file may show Safety check in the project's Files view. It cannot be downloaded until the configured malware scanner reports it clean. A missing, failed, or malicious result remains unavailable.

Only use Remove from device after you have synced the item or saved the file somewhere safe.

Turn on browser alerts

Open Settings → Browser notifications and select Enable on this device. Your browser asks for permission only after you choose that action.

Choose inquiry, client activity, scheduling, task, and business categories separately for each workspace. These controls do not change your email preferences. Routine browser alerts respect your quiet hours, while system and security notices remain immediate.

An alert can open the relevant project, message, form response, schedule, or dashboard. If it came from another workspace you belong to, Cygnetree securely switches to that workspace first. Unsupported browsers and an unprovisioned Cygnetree environment show an honest unavailable state.

Use Disable on this device before sharing a browser profile. Signing out prevents the service worker from retrieving new workspace content.

Install updates safely

Cygnetree checks for a new PWA version when it opens, reconnects, or returns to the foreground. If an update is ready, select Update now. The page reloads after the new service worker takes control, so finish an unsent form or message first.

Use Cygnetree accessibly in the field

Cygnetree preserves browser zoom and supports increased text size. Drawers and quick capture keep keyboard focus inside until you close them, and the bottom bar moves out of the way while the phone keyboard is open. Display cutouts and the home indicator should not cover controls.

Your reduced-motion preference applies automatically. You can also use the workspace skip link, an external keyboard, and your phone's screen reader. If a control becomes covered, clipped, or unreachable at your preferred text size, save any device-only capture and report the device, browser, orientation, and text-size setting to support.

Protect an installed app

Open Settings → Device protection to see whether the current browser exposes local device verification such as Face ID, Touch ID, Windows Hello, or a device PIN. This check does not reveal or confirm your passcode setting.

Installing Cygnetree does not currently add a separate biometric lock. Enable your phone's screen lock, avoid a shared browser profile, and review active devices in Settings. If you hand the device to someone else, sign out first.

Sign out of a shared device

Signing out removes browser alerts, Cygnetree's app cache, and the field-capture outbox from that browser. If captures are present—or browser storage cannot be inspected—Cygnetree warns you before continuing. Sync or save device-only work first; signing out deliberately removes it.

If the browser cannot confirm complete cleanup, Cygnetree tells you before ending the account session. Use the browser's site-data controls to clear Cygnetree before handing over the device.
