Understand your business reports
Reports combine operational records already in your workspace. They are designed to help you decide what needs attention; they are not tax, accounting, or legal statements.
Choose a reporting range
Select 30 days, 90 days, 12 months, or all time. The range applies to new inquiries, successful payment-ledger activity, completed automation runs, and completed pipeline-stage visits.
Current outstanding installments, active projects, open tasks, and connected-tool health are point-in-time values. They stay current even when you choose a historical range.
When more than one currency is present, Cygnetree shows each currency separately. Use the currency filter to focus the page. Cygnetree never adds unlike currencies into one total or guesses an exchange rate.
Read cash totals safely
Collected is successful payment and manual-adjustment activity minus successful refunds in the selected range. Failed attempts do not count. A negative net can be valid when refunds during the range exceed collections.
Outstanding is the unpaid portion of active invoice installments. Overdue is the unpaid portion whose due date is before today.
These values follow the Cygnetree ledger. Reconcile them with your payment provider and accounting system before making tax, payout, or bookkeeping decisions.
Read expenses and cash less costs
Expenses is the total of recorded, non-void costs incurred in the selected range. Cash less costs subtracts those expenses from net collected payment-ledger activity in the same currency. It is an operating proxy, not accrual profit or a profit-and-loss statement.
Corrections update the current report while preserving revision history. Recurrence metadata does not create forecast costs, and void expenses remain in the ledger export without affecting totals.
Understand cash timing
Ledger activity groups successful collections and refunds by month. The unpaid schedule groups remaining installments into past due, their stated due month, or No due date.
The unpaid schedule is a forecast of contractual timing, not guaranteed revenue. It does not predict cancellation, collection failure, discounts, taxes, fees, or exchange rates.
Compare inquiry record origins
Inquiry record origins come from the contact attached to each lead-form response. They explain how the record entered Cygnetree—such as a form, manual entry, API, CSV, or migration source. They do not claim which advertisement or referral caused the inquiry. Progressed means the response is linked to a project that moved beyond its first pipeline stage.
Unspecified means the contact has no origin label. It is not silently assigned to Direct, Referral, or another acquisition channel.
Record acquisition and outcomes
Use How did they find you? on a person or business for the acquisition channel you actually know, such as Referral, Website, Partner, or Event. Add source detail for the specific campaign or referrer. This is separate from record origin.
When you create a project for that contact, Cygnetree snapshots the contact's acquisition source onto the project. Later contact edits do not rewrite project history. You can correct the project source, record a Booked, Completed, Not booked, or Cancelled outcome, preserve the reason, and add an estimated value with its explicit currency.
The acquisition report counts only those recorded facts. Unspecified and outcome not recorded remain visible. Estimated values stay separated by currency and are planning signals, not invoiced or collected revenue.
Mapped contact and project imports can preserve acquisition columns. Project imports accept only the four supported outcome values and require estimated value and currency together; unsupported values stop the import for review instead of being guessed.
Plan around seasonal workload
Upcoming workload counts active, dated projects by month for the next twelve populated months. Undated and archived projects are excluded. Use this view to spot concentration, then review the project and teammate tables before changing capacity.
Review pipeline and team pressure
Pipeline workload is a current count, not a conversion funnel. Stage pace uses completed visits in the selected range and keeps current stage age separate.
Teammate capacity appears only when a workspace administrator sets an explicit active-task target. Cygnetree does not invent capacity from hours, job titles, or industry assumptions.
Export and reconcile
Members with export permission can download:
- current pipeline aging;
- the invoice register;
- payment-ledger activity;
- the expense ledger with categories, accounting codes, and project allocations; and
- the current unpaid cash forecast.
Financial exports also require money access. Exports are tenant scoped, exclude active sample records, escape spreadsheet formulas, are rate limited, and are blocked during support impersonation. The cash forecast includes its as-of date and keeps currencies separate.
Know what is not included
Cygnetree does not maintain a general ledger, calculate tax, or produce a profit-and-loss statement. It does not infer acquisition, project outcome, estimated value, expenses, or exchange rates where those facts have not been explicitly recorded.
Use invoice, payment, and expense exports with your accounting system. Treat accrual profitability, future-expense forecasting, cohort comparison, and scheduled-report features as unavailable until they appear in the product and this guide.
